Part-Time Operations Assistant - July 2025

The Opportunity

Nurturing Minds is seeking a part-time, entry-level Operations Assistant to work closely with and report to the Finance and Operations Director. This is a great opportunity for someone interested in learning about international development from the ground up.

Nurturing Minds is a US based non-profit organization with the mission to support quality education, life skills, and entrepreneurship to help at risk girls in Tanzania become leaders in their communities.

The Operations Assistant will be responsible for supporting the day-to-day financial processing, donor data management, and administrative tasks, including accounts payable/receivable, gift processing, database upkeep, meeting and event coordination, and board communications. This role ensures smooth internal operations and helps maintain strong relationships with donors and volunteers.

This is a remote position; however, the successful candidate must be based within driving distance of Newton, Massachusetts to fulfill some of the position’s responsibilities. Applicants outside of driving distance of Newton, Massachusetts will not be considered.

  • Job Type: Part-Time (15 hours per week)

  • Hourly Rate: $25.00 per hour

  • Schedule: Hours must be completed between 9:00 am and 5:00 pm ET, Monday through Friday

  • Location: Remote (Must reside in Massachusetts)

Position Responsibilities

  • Accounts Payable / Accounts Receivable:

    • Receive the mail on a weekly basis from the organization’s PO Box in Newtonville, MA.

    • Deposit donations into the bank account via a remote deposit check scanner.

    • Process invoices and prepare checks for signature.

    • Prepare monthly credit card statements for payment.

  • Data Entry and Database Management:

    • Process all gifts and acknowledgement letters.

    • Manage and maintain the organization’s donor database to ensure donor profiles are up to date and accurate.

    • Support the organization’s strategic use of data to further goals and objectives related to donor, prospect, and leadership development by generating and distributing reports.

  • Volunteer Support and Administration:

    • Plan and coordinate Nurturing Minds’ annual meeting, board and committee conference calls, and in-person events where appropriate.

    • Help coordinate meetings for the Executive Director, including creating Zooms and sending calendar invites to internal and external participants.

    • Maintain and replenish supplies and marketing materials.

    • Take minutes at board meetings and some committee meetings. Share minutes with the board and advisors and upload to the board portal.

    • Maintain board and committee directories.

    • Create annual schedule for board and committee meetings.

    • Create and send weekly organization updates to board and advisors.

    • Create and send weekly updates to individual board members informing them of donations to the organization from their networks.

  • All other duties as assigned.

Work Environment

  • This is a remote position; however, the successful candidate must be based within driving distance of Newton, Massachusetts to fulfill some of the position’s responsibilities. Applicants outside of driving distance of Newton, Massachusetts will not be considered. There is also occasional travel within the U.S. required for board meetings and events.

  • Must be physically and mentally capable of performing multiple tasks and able to function in a fast-paced environment.

  • This position may require lifting approximately, but not limited to, 40 pounds.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of knowledge, skill, and/or ability required to perform essential duties.

  • Education: High school diploma required.

  • Experience: 1-2 years of relevant experience (including internships or volunteer work) preferred but not required.

  • Knowledge, Skills and Abilities:

    • Strong written and verbal communication skills, including excellent word processing, grammar, spelling, and attention to detail.

    • Experience with nonprofit CRMs, Microsoft Office Suite and/or Google Workspace, Zoom, Dropbox, and Squarespace is preferred.

    • Ability to manage multiple projects simultaneously while maintaining focus, close attention to detail, and strong prioritization skills to meet deadlines.

    • Excellent interpersonal and relationship-building skills; able to work collaboratively with a diverse group of board members, donors, and volunteers; comfortable engaging with different personalities across the U.S. and Africa.

    • Some evening and weekend work may be required.

    • High level of integrity, respect for confidentiality, and a strong work ethic.
